PROPERTY MANAGEMENT SOFTWARE DEVELOPMENT

Property Management Software Development Services

Most property teams run on a PMS plus a stack of spreadsheets, inboxes and payment links around it. We build the property management software, or the layer around your existing PMS, that brings leasing, rent, maintenance and owner reporting into one system your staff, tenants and owners actually use.

BONUS Free: Property management software scope review — a senior engineer reviews your portfolio type, user roles and integrations and sends back a written scope outline with a build-vs-buy view.

In short: Northell builds custom property management software for residential, commercial, HOA and industrial portfolios: tenant and owner portals, leasing and rent collection, maintenance workflows, accounting integrations and portfolio reporting, designed around how your team actually runs properties.
CAPABILITIES

What Property Management Software Covers

Tenant & owner portals

Web and mobile portals for rent payment, maintenance requests with photos, documents, messaging, owner statements and approvals, each role seeing only what it needs.

Leasing & rent operations

Listings, applications and screening, digital lease signing, recurring rent, late fees and deposits, automated through established payment and e-signature providers.

Maintenance & vendor workflows

Work orders from request to invoice: triage, vendor assignment, scheduling, status updates to tenants and cost tracking per property.

Accounting, reporting & integrations

Sync with QuickBooks, Xero or your PMS, portfolio dashboards for occupancy, arrears and maintenance spend, and owner reports generated without spreadsheets.

FIT CHECK

Built for Specific Buyers, Not Everyone

Property management companies

Managing residential or mixed portfolios and outgrowing a PMS that forces key workflows into email and spreadsheets.

Commercial, industrial and HOA operators

Running lease structures, space management, CAM charges or association workflows that standard residential tools handle poorly.

PropTech founders

Building a new property management product and needing a team that can design, build and scale it.

If you manage a small residential portfolio with standard leases, an off-the-shelf PMS will serve you better than custom software, and we'll say so on the first call.

PROCESS

From Kickoff to Launch

01

Discovery & scoping

We map your portfolio, user roles, current tools and integrations, and decide what to build versus keep in your existing PMS.

→ Written scope + integration map
02

UX & architecture

User flows for tenants, owners, staff and vendors, a clickable prototype, and the data model and integration architecture behind it.

→ Prototype + architecture
03

Build in stages

A focused first release (for example tenant portal, payments and maintenance), then further modules in short, testable increments.

→ Working first release
04

Launch, migration & support

Data migration from your current tools, staff onboarding, monitoring and ongoing improvements after go-live.

→ Live platform + support plan

FAQ

Common Questions About Property Management Software

Should we build custom property management software or use an off-the-shelf PMS?

If your portfolio and processes fit a standard product such as AppFolio, Buildium or Yardi, licensing it is usually cheaper. Custom software makes sense when your operating model is the advantage: mixed portfolios, unusual lease structures, owner reporting your clients expect, or workflows the PMS forces into spreadsheets. Often the right answer is to keep the PMS and build the portal, automation or reporting layer around it.

Can you integrate with the systems we already use?

Yes. Typical integrations are accounting (QuickBooks, Xero), payments and rent collection (Stripe or a similar provider, ACH where available), e-signature (DocuSign or similar), listing syndication, tenant screening services, smart locks and IoT devices, and existing PMS APIs where the vendor provides them. We confirm what each provider exposes during discovery, before committing to scope.

How do you handle rent payments and tenant data securely?

Card and bank data stay with PCI-compliant payment providers rather than in your database. Tenant records are encrypted in transit and at rest, access is role-based (owner, manager, tenant, vendor, admin), and sensitive actions are logged. We design for GDPR or CCPA requirements depending on where your tenants are.

Do you build tenant and owner mobile apps?

Yes. Tenants usually need rent payment, maintenance requests with photos, documents and messaging; owners need statements, occupancy and approvals. We build these as mobile apps or responsive web portals depending on your users, often sharing one backend with the staff dashboard.

How long does a custom property management platform take?

It depends mainly on the number of user roles and integrations. We give a timeline after a scoping call rather than a number on this page. A focused first release, for example a tenant portal with payments and maintenance requests, is scoped to weeks or a few months rather than a year, and the rest is added in stages.

Can you take over or modernise an existing property management system?

Yes. We start with a code, data and integration review so we know what is fragile before adding features, then modernise in stages so your team keeps working throughout. Both of our published real estate projects, AgentScout and NWCC, started from something that already existed.

Why work with Northell Design on property management software?

Because we start from how your team actually runs properties, tell you honestly when an off-the-shelf PMS is enough, and build only the parts that give you an advantage, from tenant portals to owner reporting. Our real estate work includes AgentScout and NWCC.

Does Northell Design offer support after launch?

Yes. We monitor the platform, fix issues, keep integrations and dependencies up to date, and continue feature work on a retained or as-needed basis.

What does Northell Design need from us to start?

A short description of your portfolio, the tools you use today, and the workflows that cause the most manual work. We turn that into a written scope outline after the scoping call.
